Personal Training Terms & Conditions (Trainer & Client Agreement)

This agreement outlines the terms that govern all personal training sessions, packages, and memberships provided by Akademy. By making a booking or payment, you confirm that you have read, understood, and accepted the following terms. These Terms & Conditions are binding between you (the “Client”) and the Trainer.

All sessions are booked through the official Akademy.fit website using your registered account.

1. First Session (One-Time Offer)

  • The First Session is a one-time offer available only to new clients.
  • Sessions must be booked via the online calendar, which displays availability up to 2 weeks in advance.
  • Once booked, your selected time is reserved for you.
  • Sessions can be rescheduled with a minimum of 24 hours’ notice, and must be used within 1 calendar month of the original booking date.
  • No cancellations or refunds are available for this session.
  • Booking the First Session includes automatic account creation with Akademy.

2. Block Packages (Single, 5 or 10 Sessions)

  • Clients may purchase individual personal training sessions or packages of 5 or 10 sessions.
  • All options are valid from the date of purchase:
    • 1 Session – valid for 2 months
    • 5 Sessions – valid for 2 months
    • 10 Sessions – valid for 3 months
  • Packages are discounted bundles made up of individual sessions. All sessions—whether purchased individually or as part of a package—follow the same usage and session policies.
  • In the event of a medically supported refund, each completed session will be calculated at the standard single-session rate of £100, and the remaining amount may be refunded.
  • Sessions must be booked and used within the stated period.
  • Any unused sessions after the expiry date will be forfeited.
  • No extensions or refunds will be granted unless due to medical reasons supported by documentation from a physician.
  • Session prices may vary depending on location due to venue costs. All prices are clearly displayed before payment. There are no hidden fees.

3. Monthly Membership (By Invitation)

  • Available to trusted, ongoing clients who wish to secure a regular weekly slot.
  • Fixed monthly options:
    • 1 session/week
    • 2 sessions/week
    • 3 sessions/week
  • The monthly fee is the same for all clients and applies only at the designated training location.
  • Payment is due by the 1st of each calendar month. A standing order is recommended.
  • If payment is not received by the 5th, your reserved slot may be offered to another client.
  • Sessions do not roll over. All sessions must be used within the active month.
  • Sessions can be rescheduled with at least 24 hours’ notice, within the same month.
  • No refunds are available. In the event of a medically justified refund, a per-session rate of £100 will be applied to any completed sessions, and the difference refunded.

4. Session Policies

  • Each session is typically 55 minutes in duration. A different length may be agreed upon individually.
  • The Trainer is not obligated to provide availability that matches the Client’s preferences.
  • All bookings, reschedules, and cancellations must be made through your Akademy account.
  • Clients may opt in to receive session reminder notifications via email and/or SMS. These reminders are optional and can be enabled or disabled at any time. By enabling reminders, the Client consents to receiving communication solely for scheduling purposes.

5. Cancellations, Lateness & No-Shows

  • 24 hours’ notice is required to reschedule a session.
  • Cancellations or changes made with less than 24 hours’ notice will result in the loss of the session. No refunds or reschedules will be granted.
  • If you are more than 10 minutes late without prior notice, the session is considered a No-Show and forfeited.
  • While the Trainer may exercise discretion in the event of an emergency, this is not guaranteed and does not alter the policy.

6. Client Responsibilities

  • Complete and maintain an up-to-date PAR-Q health questionnaire at all times.
  • Arrive on time and ready for your session.
  • Manage your bookings responsibly via your Akademy account.
  • Abide by these Terms & Conditions in full.

7. Trainer Responsibilities

  • Deliver a safe, structured, and personalized fitness program aligned with your goals.
  • Provide professional support, education, and motivation.
  • Respect scheduled times and make up any lost time caused by the Trainer’s own lateness.
  • Maintain clear communication throughout the course of your training.

8. Acceptance of Terms

By completing a booking or making a payment, you confirm your full acceptance of these Terms & Conditions. This agreement is available to read at any time via the Akademy.fit website.
